Employee monitoring notice

Plain-language summary
Your employer uses Tramplo to track time you spend working at your computer. While you have an active shift, the Tramplo desktop app captures screenshots at randomized moments. If your employer has turned them on, it also counts your keyboard and mouse activity (not what you typed) and which application is in the foreground.
When you are idle, Tramplo pauses automatically. When you do not have an active shift, Tramplo collects nothing.
Who is responsible
Your employer chooses Tramplo and decides what to record about you. For privacy purposes, your employer is the controllerof your data. Tramplo processes your data on your employer's instructions as a processor.

What we collect
- Screenshots at randomized intervals during an active shift, at the cadence your employer configured. Screenshots are full-screen at the time of capture.
- Active / idle status based on whether there has been keyboard or mouse input recently.
- Activity metrics (only if your employer enabled them): per-minute counts of keystrokes, mouse clicks, and seconds with mouse movement. We never log which keys you pressed.
- Foreground app names (only if your employer enabled them): which app is in front and for how long.
- Account & device: your work email, name (if set), the device you signed in from, the OS platform, and timestamps.
- Audit log: sensitive actions taken by your admin (e.g. blurring or deleting one of your screenshots).
What we do not collect
- The contents of what you type. Counts only.
- Your clipboard.
- Your microphone or camera.
- Your file system or browser history outside an active shift.
- URLs visited inside browsers (this is a future opt-in feature, currently disabled).
- Your physical location.
- Biometrics (no face, fingerprint, retina, or voice).
When we collect
Only while you have an active shift in the desktop app. Specifically:
- Capture starts when you click Start shift.
- Capture pauses automatically after the idle threshold your employer set (no keyboard or mouse input). It resumes when you return.
- Capture stops completely when you click End shift, log out, or close the app.
How long we keep it
Your employer chooses the retention window (currently 30, 60, 90, 180, or 365 days, or unlimited). A nightly job permanently deletes shifts and their screenshots, activity metrics, and app usage older than that window. Audit-log entries are kept for 365 days regardless.
Who sees it
- Your employer's admins, through the Tramplo web dashboard.
- Tramplo, only as needed to operate the service (the people running our servers have access to the data they store).
- Our subprocessors — see the full list.
- Nobody else, except where required by law (court order, regulator request) — in which case we will inform your employer unless legally prohibited.
Your rights
The exact rights you have depend on the country you work in. In most cases you can:
- Ask for a copy of the data we hold about you.
- Ask for incorrect data to be corrected.
- Ask for your data to be deleted (subject to your employer's legal duties).
- Object to specific kinds of processing.
- Lodge a complaint with the data-protection regulator in your country (e.g. ICO in the UK, CNIL in France, BfDI in Germany, KVKK in Turkey, OAIC in Australia).

Security
- All connections to Tramplo use TLS 1.2 or higher.
- Passwords are stored as argon2id hashes — never in plain text.
- API tokens are stored as SHA-256 hashes.
- Screenshots are stored on disk in a non-public directory.
Changes to this notice
When this notice changes materially (a new module is added, retention is extended, a new recipient is introduced), Tramplo will require you to acknowledge the new version before your next shift can start. Smaller changes are reflected here with an updated effective date.
